Program Cancellations and Withdrawals

RPHOA Program Policies:

All programs are open to both Rockland Park residents and non-residents. Non-residents are subject to full price, Rockland Park resident and Brookfield residents receive a discount on all programs.

Resident Rate – Rockland Park Residents (Members in Good Standing)

Brookfield Resident Rate– Residents who live in another Brookfield community

Non-Resident Rate – Residents in all other communities

Tenants may also receive the Rockland Park resident rate, if the property owner has transferred their membership privileges to the tenant.

 

Photos/Videos:

The Rockland Park HOA staff may take photos and/or videos during events and programs. These may be used for promotional materials.

 

Non-Resident Access to the Lodge:

Non-residents will only be granted access to the Lodge during their scheduled program time, and are not permitted to use facilities not included in programing.

 

Withdrawal/Refund Requests:

All withdrawal requests must be emailed to lifestyle@rocklandparkhoa.ca

If the refund is requested within: 

Fourteen (14) or more days prior to the first day of the program: a full refund will be issued

Less than Fourteen (14) days prior to the first day of the program: 50% of program rate will be refunded

After the first class: refunds will be issued for medical reasons only and a doctor’s note is required at the time of the request.

A pro-rated refund will be issued.

A $15.00 administration fee will apply to all program withdraw requests

 

Summer Camp Withdrawal/Refund Request:

All withdrawal request must be emailed to lifestyle@rocklandparkhoa.ca.

A $60 non-refundable deposit applies to each camp registration.

If the cancellation is requested within:

2 weeks prior to camp start date: Full Refund (minus the $60 non-refundable deposit)

Less than 2 weeks prior to camp start date: No Refunds provided.

Transfers: All transfer requests must be emailed to lifestyle@rocklandparkhoa.ca

All transfers are subject to availability. Program fee differences may apply. No transfers will be permitted after one (1) week of the program start date, unless for medical reasons and a doctor’s note is required at the time of the request.

 

Outdoor Program Cancellations Due to Weather Conditions:

Certain programs (ie. Pickleball, Basketball, Soccer and Skating) run by the Rockland Park Homeowners Association are conducted outside the building, in the park. These programs may need to be cancelled from time to time due to weather-related issues.

• Extreme cold weather (-21 or colder with or without wind chill)

• Extreme heat (+34 with or without humidity)

• Air Quality (A rating of 8+)

• Heavy Rain

• Extreme winds

In the case of poor weather, the RPHOA will attempt to schedule a make-up class should timing allow. In the case where the RPHOA is unable to schedule a makeup class, participants will be refunded a prorated amount for the missed class. Refunds will not be issued to participants who are unable to attend rescheduled or make-up classes for seasonal/outdoor programs.

 

Cancellation Due to Low Enrollment:

All programs are subject to cancellation if there is insufficient registration. Participants are encouraged to register early to ensure their desired program runs. In the event a program is cancelled due to low registration, you will be notified by email prior to the programs start date with the following options:

1. Transfer to another program (subject to space availability)

2. Receive an account credit for future use

3. Receive a refund

 

Cancelled and/or Postponed Classes:

We do our best to avoid cancelling or postponing classes, but occasionally it does happen. Cancellations happen for various reasons, and you will be notified by email about any cancellations/postponements as soon as possible.
